2025 BigStuf Terms & Conditions

By completing my registration for BigStuf Camp, I acknowledge that I have read, understood, and agree to the Terms & Conditions outlined below. Throughout this agreement, "I" and "my" refer to my church/group. This agreement is binding upon my church/group regardless of any changes to staff or leadership. It is my responsibility to share these terms with all leaders and stakeholders within my group.

Group Requirements

For purposes of this agreement, a group is defined as meeting the following criteria:

  1. The primary leader is at least 21 years of age or older.
  2. The group must include a minimum of 5 registered participants.
  3. A chaperone is required for each gender represented among the students attending (e.g., male chaperones for male students).

It is the responsibility of the group leader to ensure compliance with these requirements prior to arrival at camp.

2025 Camp Dates and Pricing

Available Dates:

  • June 9 – 13, 2025
  • June 16 – 20, 2025
  • June 20 – 24, 2025
  • June 24 – 28, 2025

Camp Price Schedule (per student/leader):

  • Early Bird Rate: $499 – September 17, 2024 – October 20, 2024
  • Regular Rate: $509 – October 21, 2024 – February 3, 2025
  • Last Minute Rate: $519 – February 4, 2025 and after

Camp rates include lodging for four nights, 10 meals, all sessions, and access to session materials. Rates are determined based on the registration date, and no exceptions will be made to adjust rates retroactively.

Deposits & Payment Schedule

  • Deposit Amount: An initial deposit of $80 per registered spot is required within 15 days of registration to secure spots.
  • Non-Refundable & Non-Transferable: Deposits are non-refundable and cannot be applied to the final balance. Deposits cannot be transferred to other groups or events.
  • Unsecured Spots: Spots will be automatically dropped if deposits are not received within the 15-day window.

Key Deadlines for 2025

  1. April 4, 2025 – Final Cancellation Deadline:
    Spots canceled after this date must still be paid for in full. No exceptions will be made to this policy.
  2. May 15, 2025 – Final Balance Due:
    All balances must be paid in full by this date. A late fee of 5% of the remaining balance will be added to accounts not paid in full by the deadline. Groups with unpaid balances, including late fees, will not be admitted to camp.

Payment Methods

  1. Credit Card Payments: A 3% transaction fee applies to all credit card payments.
  2. Check Payments: Checks should be made payable to BigStuf Camps and mailed to:

Checks must include the group name and camp session dates to ensure accurate processing. Payments are considered incomplete until funds are cleared.

Cancellations and Adjustments

  • Online Cancellations Only: All cancellations must be completed through the group’s online account by April 4, 2025, no later than 11:59 PM EST.
  • Rooming Ratios Submission: Rooming ratios are due 30 days before the start of the camp session. A $100 late fee will be applied for late submissions. BigStuf reserves the right to assign room configurations based on availability. Requests for additional rooms, safe sanctuary accommodations, or early/late stays will incur additional charges.

Behavior and Code of Conduct

BigStuf expects all participants, including students and leaders, to demonstrate Christ-like behavior throughout the camp experience. Each group leader is responsible for ensuring their group members adhere to the following guidelines:

  • Prohibited Activities: Smoking, alcohol, and drug use are strictly prohibited on BigStuf premises.
  • Respect for Others: All attendees must honor personal boundaries and respect others' belongings.
  • Appropriate Attire: All clothing must align with the BigStuf dress code, which is available on the BigStuf website.
  • Removal from Camp: BigStuf reserves the right to remove any participant for violations of these guidelines, after consulting group leadership. Reasons for removal may include inappropriate behavior or failure to adhere to camp policies.

Refund Policy

BigStuf Camps is a 501(c)(3) nonprofit organization. Refunds (excluding deposits) may be considered under the following circumstances:

  1. Medical Emergencies
  2. Jury Duty
  3. Military Call to Duty
  4. Death in the Immediate Family (defined as parents, siblings, or grandparents)

Refund Requests:

  • Refunds must be requested by the group leader within two weeks of the group’s camp dates.
  • All requests must include supporting documentation (e.g., doctor’s note, jury summons).
  • Refunds are not guaranteed and will be issued at BigStuf’s discretion.

National Emergency/Disaster Policy

In the event of cancellations due to a national disaster, pandemic, or other events outside BigStuf’s control:

  • Deposits remain non-refundable.
  • At BigStuf’s discretion, 50% of the deposit may be refunded or applied as a credit to a future event within one year.

BigStuf commits extensive resources to planning each camp and is unable to offer full refunds in these scenarios.

Dietary Accommodations

  • Gluten-free and dairy-free options are available on buffet lines but may not meet celiac or severe allergy standards. Groups must provide additional food items for participants with specific dietary needs.
  • A $100 refund is available for attendees unable to eat any camp-provided meals due to severe dietary restrictions.

Store Policies

  • Returns & Exchanges: Items must be returned in new, sellable condition within 20 days of receipt. CDs/DVDs must remain unopened. Discounted and digital items are final sale.
  • Store Credit: Refunds are not issued; store credit will be provided for returns.

Liability & Acknowledgment of Risks

All group leaders acknowledge the inherent risks associated with beach/waterfront properties and agree to ensure group compliance with lifeguard and resort personnel guidelines. BigStuf is not liable for injuries or damages incurred during camp activities.
